The Role

Reporting to the General Manager of the London office, the Executive Assistant will be responsible for providing top level, complete and overall executive and administration support to the London based Executive Team.

The role is varied and challenging which requires an exceptionally organised, practical and proactive individual who can work in a fast-paced environment and can adapt to changing priorities.

  • Coordinate diaries, process and send out meeting requests internally and externally for planned and ad-hoc meetings
  • Monitor on-going matters for the Executive Team with an awareness of deadlines for business and personal matters and prompt where necessary
  • Attend Executive meetings and take minutes
  • Circulate papers and minutes to the Executive Board
  • Independently execute instructions from the London based Executive Team
  • Gather information from the Head of Departments and prepare weekly and daily business reports
  • Manage and maintain executives’ schedules, trips and meeting agendas
  • Manage communication channels between Insignia Group of Companies offices
  • Planning, organising and coordinating conferences, business meetings, events, seminars
  • Liaise with external organisations and business partners to arrange meetings, prepare agendas and draft minutes
  • Filter incoming emails, queries, phones calls and invitations by redirecting or taking forward as appropriate
  • Provide research and information support
  • Prepare short summaries of documents and reports
  • Prepare and edit documents, presentations
  • Stakeholder management to provide up to date information for reporting


  • Previous experience in an executive role involved in wide ranging areas of a business
  • Ability to demonstrate initiative and to suggest improvements to processes
  • Exceptional communication skills and an ability to work with a wide range of people
  • Confident self-starter, able to work proactively, think ahead and multi-task in a fast-paced environment
  • Exceptional organisational skills and ‘can-do’ attitude
  • Sensitive and diplomatic management of multiple levels of employees with a high level of confidentiality
  • Confidence in decision making and prioritisation of tasks
  • Proficiency in MS Office
  • Excellent time management skills and ability to multi-task and prioritise work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
